General Terms and Conditions for Travel
Särna Adventures does everything we can to offer you a safe adventure.
These terms apply when purchasing a package tour/multi-day trip, day activity, rental, or support, provided that they are attached to the order confirmation or otherwise agreed upon between the parties that these terms shall apply.

1. Definitions
In these terms, the specified terms have the following meanings:
Arrangement – Experiences or activities provided with or without accommodation and/or meals, for individual guests or group bookings.
Service – Equipment rental or provision of support services.
Multi-day Trips – Arrangements spanning at least one night.
Day Activities – Arrangements starting and ending on the same day.
Rental – Renting outdoor equipment for individual guests or group bookings.
Customer – The person, whether legal or physical, responsible for paying for the arrangement or service.
Participant – The individual(s) participating in the arrangement or using the service.
Provider – Särna Adventures, delivering all or part of the arrangement or service, either directly or through subcontractors.
Order Value – Agreed price for the entire order, or the sum of the ordered number of participants multiplied by the agreed price per participant, plus the cost of any specially requested written additions.
Booking Agent – A company mediating arrangement bookings, including or excluding payment mediation for the booking.

2. Ordering
Orders must be made in writing via email or the booking system. Särna Adventures shall confirm receipt of an order in writing.
3. Payment
3.1 Advance and Final Payment
3.1.1 Multi-day Trips
If the booking is made more than one month before the start of the multi-day tour, an advance payment of 50% must be made at the time of booking.
Final payment must be made no later than 30 days before the start of the multi-day tour. For bookings made less than 30 days before the start of the multi-day tour, the full price must be paid at the time of booking.
3.1.2 Day Activities and Rentals
If the booking is made more than three months before the start of the day activity, rental, or snowmobile support, an advance payment of 50% must be made at the time of booking.
Final payment must be made no later than 30 days before the start of the day activity, rental, or snowmobile support. For bookings made less than 30 days before the start of the day activity or rental, the full price must be paid at the time of booking.
When booking through Bookspot, an option to reschedule up to 3 days before the start date can be added for an additional cost.
3.2 Payment Method
Payment is made using the selected payment method at checkout. The payment method is provided by Stripe in collaboration with its partners. Card payments are accepted via Visa, MasterCard, and Maestro. Your card will be charged immediately. Swish payments are also accepted at checkout. By special agreement, payment by invoice may be arranged. An invoicing fee applies for this option.
3.3 Post-Payment
If a separate agreement is made for payment by invoice after the service, the purchaser must settle the full amount within 30 days from the invoice date. If the payment deadline is exceeded, Särna Adventures reserves the right to charge late payment interest from the due date at the applicable reference interest rate plus eight percentage points. An invoicing fee applies for this option.
4. Prices and Fees
The price of each item is stated inclusive of VAT in Swedish kronor (SEK). The total price, including all fees such as VAT and shipping, is displayed in the shopping cart. If payment by invoice is agreed upon, an invoicing fee will be added.
5. Binding Agreement and Right of Withdrawal
The agreement becomes binding for both parties when Särna Adventures has received an initial payment and has confirmed the order in writing. The purchaser has the right to cancel their purchase until the order confirmation from Särna Adventures has been received.
6. Processing of Personal Data and Cookies
To receive, manage, and deliver your order, Särna Adventures will process your personal data. All processing of personal data is carried out in accordance with applicable data protection legislation. You can read more about how we handle your personal data in Appendix 1: Privacy and Cookies.
7. Cancellation/Rescheduling
As our guest, we want you to feel confident, secure, and well-supported if you need to cancel or reschedule for any reason. Cancellations must be made in writing. If part of the booking or an individual participant is canceled, the refund will only apply to the canceled portion.
7.1 Cancellation of Multi-Day Tours
If the cancellation is made more than 30 days before the start of the multi-day tour, the purchaser must compensate Särna Adventures with 20% of the booking value.
If the cancellation is made 30 days or later but more than 14 days before the start of the multi-day tour, the purchaser must compensate Särna Adventures with 50% of the booking value.
If the cancellation is made 14 days or less before the start of the multi-day tour, the purchaser must compensate Särna Adventures with 100% of the booking value.
Cancellations must be made in writing. If part of the booking or an individual participant is canceled, the compensation will apply only to the canceled portion. Särna Adventures recommends that you arrange cancellation protection through your insurance provider.
Multi-day tours require a minimum of 4 participants: The organizer has the right to cancel the experience due to insufficient participants and must notify participants in a timely manner before the start. In such cases, the full registration fee will be refunded promptly without delay or administrative fees.
7.2 Cancellation of Day Activities
Up to 2 weeks before departure: 100% of the total travel amount.
No later than two weeks before your tour, you have the option to reschedule to a new date within 18 months. This ensures that you retain your booking and can look forward to your experience. Of course, there will be no price change for your booking, which could otherwise apply to the experience.
If you wish to cancel with less than 2 weeks remaining, no refund will be issued. In this case, you should contact your insurance provider to seek compensation.
When booking through Bookspot, an option to reschedule up to 3 days before the event can be added for an additional cost.
7.2.1 Cancellation of Rentals
If the cancellation is made more than 14 days before the start of the rental, the purchaser must compensate Särna Adventures with 20% of the booking value.
If the cancellation is made 7 to 14 days before the start of the rental, the purchaser must compensate Särna Adventures with 50% of the booking value.
If the cancellation is made 7 days or less before the start of the rental, the purchaser must compensate Särna Adventures with 100% of the booking value.
When booking through Bookspot, an option to reschedule up to 3 days before the event can be added for an additional cost.
7.3 Cancellation After the Start of the Arrangement or Service
Neither the participant nor the purchaser is entitled to any compensation if the participant chooses to cancel or shorten the agreement after the start of the arrangement or service. The participant is responsible for any additional costs for evacuation, transportation, accommodation, etc., that may arise.
7.4 Cancellation Due to Pandemic or Similar Events
In the case of cancellation caused by a pandemic or another outbreak of a serious illness that prevents the arrangement or service from taking place on the agreed date, no cancellation fee will apply according to section 7. A pandemic is considered to prevent the arrangement or service from being carried out if a competent authority issues a ban on the event or service or makes a binding decision that prevents the arrangement or service from being conducted as agreed.
Särna Adventures also has the right to cancel an arrangement or service if its execution is prevented due to a pandemic or similar event. In such cases, the purchaser or participant is not entitled to any compensation.
7.4.1 Force Majeure
Strike, lockout, fire, explosion, war or similar acts of war, significant restrictions in supply, or other circumstances beyond Särna Adventures' control entitle Särna Adventures to terminate the agreement without the obligation to pay damages.
8. Refusal of Participants
It is important that your guide is aware of any health issues that may affect your safety or the safety of others. You are required to inform Särna Adventures of such issues before departure.
Särna Adventures reserves the right to refuse participants from the arrangement or service if the participant:
Fails to appear at the designated location on the correct date and/or time.
Does not meet the required experience or physical condition specified at the time of booking.
After repeated reminders, chooses not to follow safety instructions or codes of conduct.
Neither the participant nor the purchaser is entitled to compensation for a canceled arrangement or service, and they will be responsible for any evacuation costs incurred.
9. Delayed Arrival at Final Destination
In the event of a delayed arrival at the final destination due to circumstances beyond the supplier's control, such as severe weather, high water flows, heavy snowfall, or delayed transportation, no compensation will be provided for lost meals, accommodation, or missed connections. It is the purchaser's responsibility to allow for extra time before the return journey or to book tickets that are changeable or refundable.
10. Reservations
Särna Adventures reserves the right to change the program logistics, departure times, and program content due to circumstances beyond the supplier's control, such as delayed or canceled transportation, consultations with relevant Sami villages, extreme cold, strong winds, weather conditions, or track conditions deemed unsuitable or problematic for the safety or practical implementation of the arrangement or service. Such changes will be promptly communicated to the purchaser, and if applicable, substituted with alternative program content as similar to the original as possible.
The purchaser is entitled to a price reduction if the provided arrangement or service has a lower value than agreed. However, the purchaser is not entitled to a price reduction if the change is due to the purchaser or participant, or any circumstances for which they are responsible. In such cases, the purchaser or participant is also not entitled to damages.
11. Responsibility for Property / Causing Damage
Särna Adventures does its utmost to ensure a safe journey. Professional planning and a relevantly trained guide are part of this effort. Särna Adventures ensures that you are provided with all necessary information required to participate in our trips. For information related to your personal situation that may affect the trip, it is your responsibility to communicate this.
Särna Adventures cannot be held responsible for any damage caused by your participation in our trips/activities. Your participation is at your own risk. You must report and compensate Särna Adventures (at cost price) for any damage or lost equipment.
Särna Adventures does its utmost to ensure your safety during our trips.
Särna Adventures is not responsible for property stored in hotel rooms or in the premises of the supplier or subcontractors. If it is found that Särna Adventures or its employees acted negligently or recklessly or in any other way were at fault for lost or damaged property, Särna Adventures will be liable for the lost/damaged property.
12. Responsibility for Rented or Borrowed Equipment
The following applies to the rental or borrowing of equipment as part of the arrangement:
The participant is responsible for:
The rented or borrowed equipment from the moment it is received from the supplier until it is returned.
Inspecting the equipment personally when receiving it to identify any damages.
Having sufficient knowledge of how the equipment works. If not, the participant is responsible for acquiring this knowledge, either through Särna Adventures or independently.
Proper maintenance and use of the equipment. In cases of obvious negligence or theft, the participant will be held responsible for any resulting damage or theft.
13.Responsibility during transport not part of the arrangement
The participant is responsible for ensuring they have adequate warm clothing and safety equipment to manage a longer period under the current weather conditions.
14. Miscellaneous
Särna Adventures is a company under constant development. Therefore, our terms and conditions may be adjusted as needed. On our website, you will always find the latest update of our terms and conditions.
When we confirm your booking, we always send you our terms and conditions along with the confirmation. This version applies to your booking.
Särna Adventures cannot change these terms without contacting you.

Appendix 1, Privacy Policy and Cookies
Appendix 1, Personal Data Processing
Särna Adventures, reg. no. 8405190359, processes personal data in connection with transactions on https://SärnaAdventures.se and is the data controller for this processing. Personal data is processed to enable Särna Adventures to provide its services, primarily for the following purposes ("Purposes"):
To create and maintain your personal account
To receive and process your orders and deliver your goods to you
To handle any returns
To send SMS notifications about booking status
To answer your questions and inform you about new or updated services
To send marketing offers such as newsletters and catalogs
To send surveys that allow you to influence Särna Adventures' offerings and services
The data processed includes the information you provide, for example, when placing orders, contacting customer service, etc. The data you provide may include, for instance, contact information, delivery address, and ordered goods ("Personal Data"). Personal data is necessary for Särna Adventures to fulfill the Purposes. Some information may also be obtained from public registers or other publicly available sources.
The primary legal basis for processing is that the processing is necessary for Särna Adventures to fulfill its commitments to its customers. Some processing may also be based on Särna Adventures' legitimate interest in conducting its business effectively and securely, as well as on Särna Adventures' obligation to comply with legal requirements. Personal data may be shared with authorities and other parties engaged by Särna Adventures to fulfill the Purposes, such as for delivery. These parties may be based outside the EU/EEA. If the European Commission does not consider the country to ensure an adequate level of protection, the transfer to the third party will be supported by the Commission's standard contractual clauses for transferring personal data to a country outside the EU/EEA, see Articles 45-46 of Regulation 2016/679 ("GDPR"). Right of Access – Under Article 15 GDPR, you have the right to access your Personal Data and to be informed about the processing. This information is provided in this document.
Right to Rectification – Under Article 16 GDPR, you have the right to have inaccurate personal data about you corrected without undue delay. Taking into account the purpose of processing, you also have the right to complete incomplete personal data.
